POS system – what is it and where is it used
POS-system is a ready-made set of equipment for automating trading operations. All devices are integrated among themselves and placed in such a way as to ensure maximum convenience for the seller and prompt customer service.
Often, integrated solutions are used where the productivity and speed of the cash center operation is important – in high-capacity retail enterprises, supermarkets, restaurants, canteens, and service companies. There are also budget models for micro-business (minimarkets at home, boutiques and pavilions in the shopping center).
Consider the features of the POS-system: what it is, what tasks it performs and how to choose the best option to increase sales efficiency and not overpay for extra options.
The POS system is equipped with functional devices, each of them is responsible for a specific operation.
It performs standard functions: transmitting OFD information, creating and printing receipts, sending it to e-mail or a subscriber number (at the request of the client). At the same time, the complex copes with those tasks for which a standard online cash desk or smart terminal is not suitable. In particular, it ensures uninterrupted operation even in conditions of intensive and continuous operation during a shift.

– flexibility – in case of failure of one element you do not have to disassemble the equipment (as in the POS terminal), it is enough to replace the faulty part (for example, a scanner or printing unit).
Manufacturers combined the computing complex, software and the necessary peripherals in a single system, so the owner of the PAK (hardware and software complex) does not need to think about the compatibility and integration of equipment.
The composition of the POS system
Traditionally, the POS-complex includes a cashier’s screen and a special POS-computer (system unit) – a computer center with OS (Windows or Linux), cash and accounting software. Computers are of two types: a separate module (in the form of a box) or combined with a monitor (in the form of a monoblock). Also included in the kit:
Fiscal registrar (FR). This is a key element of the cash register equipment, which is responsible for printing receipts, storage and transmission of information OFD. It is equipped with a receipt printer and a fiscal drive (can be included or purchased separately).
Keyboard. Most kits come with a programmable POS keyboard. The user independently sets commands for keys or their combinations; he can change and add options for convenience and time saving.
Monitor, FR and keyboard panel – the basic (minimum) POS-system configuration for a small store or pavilion. Other devices can be included in the PAC optionally or purchased separately:
1. Barcode scanner. The type of scanning device depends on the format of the trade. Small retail outlets are suitable for wired and wireless handheld scanners. In hypermarkets, as a rule, built-in imagers are used. Some models combine a scanner and scales
2. Buyer display. This is a compact screen that displays 1-4 lines of text useful to the client: product name, weight, quantity, purchase price, etc.
3. Cash drawer. As a part of POS-systems, horizontal automatic boxes with an emergency button are most often used, which open at the cash desk signal.
4. Card reader. To scan bank cards and information from mobile devices, standard bank terminals (for acquiring) or PIN pads are used. Some keyboards feature a magnetic card scanner.
5. Checkout scales. In small stores, the weighing apparatus is installed next to the cashier, and in hypermarkets it is built into the cashier’s workplace and automatically sends information to the POS system.
All complex solutions can be divided into two categories: prefabricated and monolithic. In the first case, the main elements (FR, computer and keyboard) are combined in one housing. In the second, the elements are connected to a PC via a USB port, RS-232, RJ45 and other interfaces. Some systems come with a switch (hub) to which peripheral devices are connected.
How to choose a POS system for a small store
There are many manufacturers who in practice confirm high efficiency and also provide:
– long service life;
– smooth operation even with prolonged use;
– quick customer service.
In small shops with counter sales, minimarkets and trading pavilions do not need powerful equipment with high speed printing checks – for this the user will have to bear unreasonably high costs. The POS system for a small store is recommended to choose from a list of budget models. They comply with the requirements of laws and provide sufficient functionality and speed of service with an average customer flow of up to 100-200 people per day.
Is it possible to assemble the kit yourself
An automated cash register unit can be purchased ready-made or assembled on your own. As a data center, a custom PC, tablet or POS computer is suitable. It is easy to modify any smart terminal into a mini format POS system by connecting a PIN pad, a 2D scanner and scales to it. This is the best option for startups, businessmen with a minimal budget and owners of trading floors with limited space – stalls, cafes, islands in shopping centers, etc.
For grocery, jewelry stores, boutiques, beauty salons, hairdressers and other serving organizations where high-speed cash transactions are not required, you can use “home-made” complexes. To do this, you need a fiscal registrar, a stationary computer (or laptop) with the installed cash program and a regular keyboard.
This is a more budget option, but the user will have to select equipment, install software, integrate and configure. Another disadvantage is the low performance. This box office is not designed for heavy loads, so with continuous use it can malfunction and slow down the operation of the entire point.
